Student requirements
Prospective enrollees can log on to http://www.uinta 1.k12.wy.us to complete an online application. Students must be residents of the state of Wyoming and meet all the requirements for attending school in the state of Wyoming. Specified documents (birth certificate, immunization records, proof of residency, etc.) must be mailed or faxed to the Evanston Virtual High School office upon completion of the online registration. Once the online application is complete and all the necessary documents have been received, the student and their parent/guardian will be contacted by a placement advisor. For students residing outside of Uinta County School District #1, a memorandum of understanding between the resident district and Uinta County School District #1 must be completed before registration is complete.
Pre-enrollment consultation
As part of the enrollment process, each student will take part in a online learning readiness course. A Wyoming certified teacher will then discuss the results of this course with the parent/guardian and the student to determine the course level placement and the compatibility of the student to the material. The parents must take the compatibility survey located on the Evanston Virtual High School website before acceptance into the school is granted. Orientation, explanations of parent/guardian requirements, and emphasis on the operation of the online school and the commitment necessary by the parent/guardian as well as a child, are stressed in either a face-to-face meeting or a phone conference. When possible, a hands-on session held in the computer lab is conducted with parent/guardian to ensure they are familiar with the role they will play in the virtual school. A required orientation on the operations of the online school is given to each parent/guardian after registration is complete and before the student actually begins the course.
Resident district instructional support
The design of the courses in the Evanston Virtual High School program will have components that allow the teacher to monitor the student. If the teacher notices the student needs additional help or is not satisfactorily completing the milestones, the teacher will have at their disposal the ability to contact the student by e-mail and schedule a live online session with the student. The design of the curriculum at Evanston Virtual High School will allow each course the ability to offer live sessions with a student or group of students. This will allow the teacher to intervene immediately and assist the students in real time and take appropriate corrective actions to ensure the students' success.
The role of the resident school's site coordinator will be minimal. Primarily, their role will be one of performing follow-up duties as needed. The coordinator would also help in securing possible sites for administration of the state tests and would serve as a monitor during this and/or other required testing times. Additional services may include provision and coordination of special education services. Permanent file for distance education students will be maintained in the resident district. It will be the role of the site coordinator to ensure that these files are housed and maintained in an appropriate manner. Finally, the coordinator would serve as someone who would be available to answer miscellaneous questions and direct a student or their family to the appropriate source for the information.
Communication between the resident district site coordinator and the distance education program staff is crucial when issues of compliance arise. Notification will be given to the site coordinator explaining unsatisfactory areas so an appropriate meeting with the student and their parent/guardian can be arranged. This could be a phone conference or face-to-face meeting if necessary. The conference call meeting involving the distance education teacher, the site coordinator, the student, and the parent/guardian will be held when needed. All necessary materials will be provided for the site coordinator.
Provider's accountability
Monitoring of student performance by the Evanston Virtual High School administration and instructors is easily accomplished through an online student management system. The system allows for the administration or instructors to log into each student's account and, at a glance, view attendance records, grade records, assessment scores, lesson and unit scores, progress reports, and unfinished work. Instructors also collect student samples of work at predetermined times throughout the course. Weekly contacts with each student allow the instructor to conduct random assessment checks on the student's progress and mastery of the material.
Intervention plan
Instructors are available by e-mail, phone, and a computer interaction for student contact. Response to student questions typically take place within 24 hours from the time of the inquiry. Often, one-on-one tutoring sessions are set up between an instructor and a student. This can be done face-to-face, or through a computer-assisted webinar. Families are encouraged to form support groups to aid in their child's education.
